CPD- Registration of CPD (Courses/Lectures/Seminars/Workshops)
Procedures for Registration of Continuing Professional Development (CPD) Courses/Lectures/Seminars/Workshops in relation to Mediation
To satisfy the requirements for the registration of Continuing Professional Development (“CPD”) Courses/Lectures/Seminars/Workshops (hereinafter referred to as “event”) in relation to mediation, organisers are required to complete an application form CPD(M) for each event organised. Completed application forms are to be sent to the Secretary-General of the Hong Kong International Arbitration Centre (“HKIAC”) for her attention at the following address:
Secretary-General
Hong Kong International Arbitration Centre
38/F Two Exchange Square
8 Connaught Place
Hong Kong
All applications must be made at least 6 weeks before the scheduled date of the event. If the application form is incomplete, the Secretary-General shall return the application form to the organiser. The Secretary-General of the HKIAC shall endeavour to respond to an application within 7 working days in order that the organiser may advertise the event in a timely manner.
Once an application form has been submitted and duly received by the Secretary-General of HKIAC for vetting, the organiser may use the words “Pending CPD registration approval from the Hong Kong International Arbitration Centre”. Once an event has been approved the organiser may for example state that “3 CPD points approved by HKIAC” for a 3-hour event.
It is not possible to register CPD points after any event has taken place and the organiser must ensure that this is adhered to without failure.
For areas in which registration of CPD may be obtained, please refer to the HKIAC Procedures for the Accreditation of Mediators – Continuing Professional Development Criteria at website address www.hkiac.org for further details.
Documentation Required For Registration of CPD events
In order to meet the requirements organisers are required to provide the following documentation in support of their application form “CPD(M)”:
- an outline of what will be covered in the event and by whom;
- a copy of the event materials/handouts which will be provided to participants (this may be provided to Secretary-General of HKIAC after the event); and
- up-to-date resume(s) of the event presenter(s), listing their experience and professional qualifications.
Guidelines on the awarding of CPD Points
The rule of thumb is that “one” CPD point will be awarded for each hour of the event session (excluding coffee/tea/lunch/dinner breaks etc). Additional points may be awarded in exceptional cases provided the event is structured in a way that it merits additional points and that the organiser has clearly drawn the matter to the attention of the Secretary – General of HKIAC in the application form “CPD(M)” under the section of “Additional Information”.
Registration of Attendance
Organisers are required to register all those attending the event using form “CPD(R)” showing clearly the name of the attendee, duration of the attendee(s) attendance of the event. Completed form “CPD(R)” together with the event evaluation form “CPD(S)” are to be submitted to the Secretary-General of HKIAC within 14 days after the event. Failure to adhere to this administrative matter will render the CPD points awarded invalid.
Registration Fee
If an organiser charges/levies a fee for an attendee to attend their event, a registration fee per event will be charged and the organiser is required to submit this registration fee together with their application form “CPD(M)”. Failure to submit a registration fee will render the application invalid. On the other hand, if an organiser does not charge/levy a fee for an attendee to attend their event, then a registration fee is not required.
The prescribed registration fee is currently fixed at HK$500 per event for non-commercial organisers and HK$1,000 per event for commercial organisers. To qualify for non-commercial status an organiser must be a not-for-profit entity with charitable status. Supporting documentation showing charitable status may be required by the Secretary-General of HKIAC to support their application.
